Need help understanding accounts (win11,Outlook,onedrive,etc) and passwords

Not sure how to explain this, but I had to replace two old desktops (mine & hubbies). They came with Win11/Home. I broke my neck and he took over the set up. We already had a Microsoft account from back in the @hotmail era. He set up a new account with different email, thinking it would replace the @hotmail id. Then downloaded Office 365, Outlook classic, OneDrive with additional storage. Doesn't remember some of the account/pw used. Others he wrote down, but don't work now (like OneDrive).
